For more company information, visit our site at www.cherokee-federal.com SUMMARYThe Executive Technical Assistant is an administrative employee who reports directly to the President and to the Vice President of Operations of Cherokee Federal. The role is to provide both administrative and technical support for these executives and serve as the primary business analyst and primary point of contact for all matters. ESSENTIAL DUTIES AND RESPONSIBILITIESIncludes the following:

  • Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments. Composing and preparing correspondence that is sometimes confidential and sensitive; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Coordinates activities across a broad range of departments and functions, taking a holistic view of the purpose of a meeting or event and assisting in coordination that leads to efficiency and meaningful engagement.
  • Plans, coordinates, and ensures the executive's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the executive's time and office.
  • Provides a bridge for smooth communication between the executive's offices with internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely with and provides high quality service to a wide range of internal and external clients including, but not limited to board of directors, executives and leaders from businesses and government clients.
  • Coordinates with communications department regarding executive talking points, speeches and presentations; provide final product review.
  • Works closely and effectively with the supported executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the executives updated.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the executives, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with hands-on approach, including personal correspondence, and other tasks that facilitate the executive's ability to effectively lead the company.
  • Prioritizes conflicting needs: handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressure.
  • Participates in high-level meetings and records minutes.
  • Prepares expense reports and tracks company spending against budget including return on investment analysis.
  • Designs and runs reports to analyze and provide insights using various sets of data, including, but not limited to, financial, operational, contractual, statistical and trends using Microsoft Excel and other reporting tools.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to company leaders, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Prepares and/or coordinates certain internal and external communications such as written correspondence, and preparation of internal and external presentations.
  • Performs other job-related duties as assigned. SUPERVISORY/MANAGEMENT AUTHORITYNo direct supervisory/management authority.EDUCATION AND EXPERIENCEAssociate's Degree in Business Administration or related field and minimum of 5 years of experience supporting executive business leader(s) at a corporate level or equivalent combination of education. This position may require a security clearance.KNOWLEDGE, SKILLS AND ABILITIES
    • Extensive knowledge of various aspects of business operations, including human resources, finance, accounting, contracts and administrative issues.
    • Demonstrated attention to detail while multi-tasking, possess interpersonal, analytical, problem solving, critical thinking, organizational and time management skills.
    • Excellent written, communication, presentation and computer skills including advanced knowledge of Microsoft Office products and the ability to learn other technology tools.
    • Demonstrated proactive approaches to complex problem-solving with strong decision-making capability.
    • Demonstrated ability to work independently and/or collaboratively with all levels of leadership to achieve objectives.
