Job Description:

Works with management to plan and execute strategies and logistics in alignment with company vision and goals. Responsible for operational reporting and metrics as well as cost control of operations. Prepares and produces reports, records, and directives and confers with management to obtain data required for planning activities, such as new projects, status of work in progress, and problems encountered. Also responsible for interfacing with company representatives regarding the coordination of inspection work and co-execution of critical business processes for the delivery of service to clients and inspectors. PRINCIPAL DUTIES & RESPONSIBILITIES (other duties may be assigned) Track and compile operational reports for analysis on revenue and expenses. Work with third party vendors to negotiate services/pricing, secure Master Service Agreements and ensure proper invoicing. Review monthly Profit & Loss Statements by Facility to ensure all expenses and revenue are captured appropriately. Work with Regional Management on special projects to properly document requirements, receive quality bids and then review financial impact and present to management for review and approval. Track special projects from project creation to completion and conduct cost analysis from budget to actual for review by management. Evaluate current procedures and practices for accomplishing department objectives to develop and implement improved procedures and practices. Perform cost analysis by customer by facility to determine pricing for services. Monitors and analyzes costs and prepares department budget and forecasting. Perform monthly and quarterly reporting to management for each facility compared to budget. Review monthly regulatory reporting and ensure accuracy and timely submission of reports. Prepare monthly analyses of profitability using cost accounting software. Continually review methodology to improve and enhance results. Assist in the evaluation of assumptions for reasonableness and consistency. Call to the attention those assumptions which appear to be unreasonable or inconsistent. Assist Account Manager in managing inspectors for specifically assigned clients and/or projects. Support the implementation and client relationship management and project life cycle planning for service contracts. Assist Account Manager in review of time/expense for accuracy and timely approval to ensure proper payroll processing and client billing. Assist Account Manager to create Inspector Hire Requests based on Client request. Responsible for verifying Client inspector rates and salary breakdown for each Inspector Hire Request. Responsible for creating inspector Pay Offers in Oracle system for new inspectors and creating pay offers for assignment changes for existing inspectors. Responsible for creating and updating Inspector pay sheets and providing to Payroll and Invoicing. Respond to Inspector queries via phone and email. Coordinate with various departments to resolve issues. KNOWLEDGE, SKILLS & ABILITIES 2+ years business or accounting related experience Prior oil and gas pipeline and facility related experience. Strong computer skills, including MS Word, Excel, Access, PowerPoint, and various financial reporting packages. Strong interpersonal and presentation skills. Strong verbal and written communication skills. Ability to work in a fast paced, demanding and ever-changing environment. Strong interpersonal skills with proven ability to communicate across functional lines, within internal organizational levels and with external business partners. Demonstrated professionalism, judgment, and discretion in working with sensitive information. Productive work habits including attention to detail, follow through and the ability to prioritize and complete work activities in an efficient and effective manner. Ability to assist in creating a department atmosphere which encourages motivation, innovation and high performance. Ability to work well in a team environment as well as independently.
